Job Essentials: The ideal candidate will meet the following requirements and competencies.
- Under the direction of, and in concert with, the office manager, the Lead Medical Assistant (Lead MA) will perform the following lead functions:
- Provides oversight, assist with and monitor training, work performance of a minimum of three 3 FTEs MA and/or other staff members.
- Take charge, effectively delegate tasks and direct or coordinate work assignments for MA staff, anticipate the needs and make necessary adjustments within a timely manner.
- Work with MA staff to determine the impact of revised policies and procedures or new procedures on the MA staff workload and ensure policies are thoroughly understood and adhered to.
- Provide, schedule and oversee training for new MA staff beyond the initial familiarization period.
- Provide or coordinate additional training as needed to ensure all new or updated policies, procedures, systems and work performance expectations are understood.
- Participate in MA interviews and make recommendations for employment actions.
- Continuously monitor and arrange for adequate coverage and oversight of MA team, including providing direct assistance and/or coverage as needed.
- Ensure effective utilization of staffing resources without use of overtime.
- Distribute work assignments and continuously assess MA operations to improve workflow.
- Maintain a working knowledge of all MA activities and provide training and coaching.
- Assist physicians with patient clinical callbacks.
- Coordinate quality patient care by ensuring all patient information is shared with Care team (i.e. pre-charts, liaison to assigned physicians)
- Ensure that any gaps in care are appropriately addressed (makes follow-up phone calls to patients on behalf of assigned physicians to ensure tests/follow-up care is complete)
- Function as coordinator for assigned programs and initiatives.
- Provide coverage at other offices within the practice as needed.
- Answer phones, greet patients, schedule appointments.
- Maintain current electronic medical record (Epic) skills.
- Prepares patients for examination and treatment.
- Assist in patient history intake and vital signs.
- Prepares exam and treatment rooms with necessary instruments.
- Phlebotomy as ordered by physician.
- Collects and prepares specimens.
- Prepares and maintains supplies and equipment for treatments, including sterilization.
- Assists the physician in preparing for minor surgeries, physicals.
- Retrieves messages from voicemail system.
- Provides general information on departmental policies and procedures.
- Maintains patient files, records and other information.
- Attends required meetings and participates in committees as requested.
- Participates in professional development activities to keep current with health care trends and practices.
- Maintains strict patient confidentiality and adheres to Service Excellence standards.
- Performs related work as assigned.
Qualifications/Requirements:
- High School Diploma or equivalent required
- Graduation from an accredited program for Medical Assistants
- Current CMA Certification
- Current CPR Certification
- Minimum of four years of clinical experience in a medical office
- Knowledge of medical practice and care to assist in giving patient care
- Knowledge of examination, diagnostic, and treatment room procedures
- Knowledge of medical equipment and instruments to administer patient care
- Knowledge of safety hazards and precautions to establish a safe work environment
- Skill in assisting in a variety of treatments and medications as directed
- Skill in taking vital signs. Skill in maintaining medical records and recording test results
- Knowledge of computer systems and applications
- Knowledge of health care administration principles
